Reply to missed callers
When a call reaches your CallRevive number and goes unanswered, the caller gets a text within seconds — written in your words — and the conversation continues by text, with your team or with the AI.
CallRevive answers overflow and after-hours calls, texts missed callers, follows up on open estimates and asks completed customers for reviews — built around your shop's rules, your prices and your way of talking to customers, and run by a person you can actually reach.
Your team still answers first. CallRevive steps in only when you want it to, follows the rules you approve, and sends uncertain or urgent calls to a person.
No dispatcher available
During the rush: your staff answers first; CallRevive catches the calls they cannot reach.
After hours: callers get help now instead of hearing voicemail and trying the next contractor.
After the call: your team receives the caller's details, outcome and next step in one place.
Off-the-shelf answering software is generic because it has to serve everyone. CallRevive is set up one business at a time: your rules, your prices, your voice — and a real person who knows your account and answers when you call.
Every client gets their own assistant, configured from your answers — not a shared template.
The software does the answering. People do the service — that's the part we don't automate.
Four connected tools handle the leads your team is most likely to lose. We set them up around your rules, test them with scripted calls, and keep them working after launch.
When a call reaches your CallRevive number and goes unanswered, the caller gets a text within seconds — written in your words — and the conversation continues by text, with your team or with the AI.
The AI receptionist answers with your greeting, gathers the job details, checks your real calendar availability and books the job on the call. Emergencies go straight to your on-call person.
Customers with an outstanding quote receive a scheduled text and email follow-up. The moment a customer replies, books or pays, the follow-ups stop automatically.
After a completed job, every customer gets the same request to leave a Google or Facebook review. If a customer signals they're unhappy, you get an alert right away so you can make it right. We never filter who gets asked — that breaks Google's and the FTC's rules, and we won't put your reviews at risk.
The caller gets a fast answer. Your team keeps control over what the system can say, which jobs it can book and when a person must take over.
Your staff answers as usual. If no one picks up, or if the office is closed, CallRevive follows the backup plan you chose.
It asks what the customer needs, where the job is and how urgent it is. It only uses information your business provided.
Depending on your rules, it books an available time, takes a message or contacts your on-call person.
You receive the customer's contact information, reason for calling and the action already taken, so there is no need to start over.
We'd rather tell you plainly than promise “integrates with everything.” Here's what connects directly today, what connects through standard connector tools, and what is a separate custom job.
Connects directly to our system. A completed job in Jobber can trigger your review requests and follow-ups automatically.
Your calendar syncs both ways, so the AI books only real openings and never double-books a slot that's already taken.
Contacts and invoices sync with QuickBooks Online. (QuickBooks Desktop isn't supported by the direct connection.)
No direct connection exists, so we link it through standard connector tools (Zapier/Make). That covers the jobs that matter: job scheduled or finished triggers follow-ups and review requests.
There is no plug-in connection to ServiceTitan. Linking it means a custom build on their API, with approval on your ServiceTitan account. We scope it and quote it separately — we won't sell it to you as a checkbox.
You get your own login, under our branding, where you see every call, text, booking and review for your business — and only your business. Recordings, transcripts and summaries live there too.
The setup fee covers building and testing the system around your business. The monthly service covers monitoring calls, updating answers and rules, fixing workflows, and reporting the results.
Attribution is simply the rule for deciding whether CallRevive helped create a booked job. Before launch, we agree on the rule in writing. A typical example: a job counts when CallRevive answers or texts a missed caller, captures the lead, and your team marks that same phone number as booked. “Recovered revenue” in your report is those booked jobs multiplied by your average job value — an estimate by a formula you approve, not a number we make up.
CallRevive is a service we run for you on proven platforms: GoHighLevel runs your portal, calendar, texting and follow-ups, and Vapi runs the AI voice. You contract with us; we configure everything to your rules, test it, monitor it and support it. Custom connections to software outside the list above are separate scoped jobs, quoted before any work starts — never surprise add-ons, and never promised until we've confirmed they're possible.
Your business data is yours. If you cancel, we export your contacts for you and work with your new provider to move your phone number out — before anything is switched off, because a number can only be moved while the account is still active. That promise goes in the written agreement.
Enter numbers from your own business. This is a calculator, not a promise: it shows the result of your assumptions and nothing more.
Math used: 4.33 weeks per month × the three numbers above. This is not a revenue forecast or guarantee. It does not include profit margins, cancellations, scheduling capacity or whether CallRevive would receive credit for the booking.
We do the technical work. You provide the business rules and approve the final call flow before a customer ever reaches it.
We look at your phone line, business hours, booking process, call volume and the software your team already uses. On day one we also start your business texting registration (A2P) — the carrier approval every US business needs before it can text customers. It typically takes 3–7 business days, sometimes up to about two weeks, and no compliant texting can start until it's approved, so it goes first.
You give us your services, service area, hours, the prices the AI may quote (or none), common questions, scheduling rules and on-call contacts. This is the customization step — everything the system says comes from your answers.
We connect the phone, calendar and handoff tools confirmed during the review. For your number you have real choices: keep your number and forward unanswered and after-hours calls to us — that can go live the same day; move your number over to our system — porting typically takes 2–4 weeks, with no downtime while it processes; or start on a new dedicated number. If a direct connection to your software isn't reliable, we use a clear message-and-alert fallback instead of a shaky integration.
We show you what the AI can say, what it cannot say, which appointments it may book and when it must involve a person. Nothing goes live until you've heard it and signed off.
We run scripted test calls: a price question, an emergency, an out-of-area caller, an angry customer, a caller who asks for a human. Anything that fails gets fixed before the system speaks with a real customer.
We turn on the agreed call path. For the first two weeks we read every call transcript daily and tune the rules. After that, ongoing monitoring and your monthly report show which calls became booked jobs under the written tracking rule.
No. Your staff keeps answering calls and handling anything that needs judgment. CallRevive covers the calls they miss, after-hours demand and repetitive follow-up.
It does not guess. It takes a message or contacts the person you selected during setup. You approve the answers and handoff rules before launch.
No. The standard start is keeping your number and forwarding the calls you miss — and all after-hours calls — to CallRevive; that can go live the same day. If you'd rather move the number onto our system permanently, porting typically takes 2–4 weeks with no downtime. A new dedicated number is also an option. We walk through the trade-offs before you choose.
Jobber, Google Calendar, Outlook and QuickBooks Online connect directly. Housecall Pro connects through standard connector tools, which covers follow-ups and review requests. ServiceTitan has no plug-in connection — linking it is a custom build on their API, scoped and quoted separately. Anything else with an API is likewise a quoted custom job. If a connection isn't reliable, we say so and send your team the complete call details for manual booking instead of promising an integration that may fail.
Honestly: your rules live in the assistant's configuration and knowledge, and a well-built assistant follows them very reliably — that's why we test with scripted calls before launch and read transcripts daily for the first two weeks. But it isn't a hard-coded machine, and we won't promise it can never go off-script. What we promise is configuration to your rules, testing, monitoring, and fast fixes — plus a hard fallback: when it's unsure, it takes a message or transfers the call to your person.
No — and you shouldn't let anyone do that for you. Filtering review requests by sentiment violates Google's policies and the FTC's Consumer Review Rule, and it can get your Google profile suspended and reviews stripped. What we do instead is legal and works: every customer gets asked the same way, and the moment a customer signals they're unhappy, you get an instant alert so you can fix it while it still matters.
Calls are routed so your office rings first. If the AI layer ever can't answer, the caller lands in voicemail and the missed-call text-back still fires, so the lead gets contacted — the worst case is a text and a voicemail, not silence. We also run test calls as part of ongoing monitoring.
They're yours. We export your contacts and cooperate to port your number to your new provider before anything is switched off — a number can only be moved while the account is active, so the order matters, and the agreement spells it out.
We agree on the rule before launch. A typical counted job starts with a call or text handled by CallRevive, keeps the same customer phone number through follow-up, and is marked booked by your team. You can review the underlying call and booking record.
No. We cannot control your call volume, close rate, available appointments or customer demand. The pilot covers only the written booked-job test and the first $600 monthly payment—not revenue or profit.
